Save time with quick replies
Airbnb lets hosts save message templates called quick replies and add details such as the guest's first name, check-in date or your house rules, which fill in automatically from the listing and reservation. You can also schedule quick replies to send based on triggers like a new booking, check-in or checkout, and you can still skip, edit or send early for any reservation.
Airbnb's own resource page on quick replies suggests messaging at key moments: when a booking is confirmed, before check-in, after the first night, before checkout and after departure. The templates below follow that order.
Words in [brackets] are things to replace. Where Airbnb has a matching detail (guest first name, check-in date, check-in time, address), insert the detail instead of typing it.
1. Welcome message (send shortly after booking)
Hi [guest first name], thanks for booking [listing name]! We are glad to host you on [check-in date]. Check-in is from [check-in time]. We will send arrival details, including directions and wifi, [2 days] before your trip.
In the meantime, here are the house rules so there are no surprises: [house rules]. If you have questions about the area or the home, just reply here.
Keep it short. The goal is to confirm the booking, set a date for the next message, and invite questions. Do not repeat the whole listing.
2. Check-in reminder (send 1 to 2 days before arrival)
Hi [guest first name], your stay starts [check-in date]. The address is [address]. Parking: [where to park]. Entry: [how to get in]. Wifi: [network] / [password]. Check-in is from [check-in time]. Full arrival steps are in the check-in instructions in your trip details.
For a fuller arrival guide, see the check-in instructions template.
3. First morning check-in (send the morning after arrival)
Good morning [guest first name]! Hope you settled in well. Is there anything you need to make your stay more comfortable? Coffee filters are in [place], and extra towels are in [place].
This catches small problems while you can still fix them, rather than in the review.
4. Checkout reminder (send the evening before departure)
Hi [guest first name], a quick reminder that checkout is tomorrow, [checkout date], by [checkout time]. Before you go: [lock the door / start the dishwasher / leave keys on the counter]. Safe travels!
Keep checkout tasks light. Airbnb's house rules policy generally does not allow hosts to ask for significant chores or things a cleaner would do, such as stripping beds or washing dishes.
5. Thank you message (send 1 to 2 days after checkout)
Hi [guest first name], thank you for staying at [listing name]. We hope you enjoyed it. If you have a moment, we would appreciate a review, and we will leave one for you too. You are welcome back any time.
Tips that make messages work
- One topic per message. Airbnb's resource page notes that quick replies work best when brief and focused.
- Fill in the listing fields first. Details only work if the matching info, like wifi or directions, is completed in your listing; otherwise they show as unavailable (Airbnb Help).
- Check last-minute bookings. Airbnb may skip some scheduled messages for last-minute bookings or short stays unless you turn on the setting to always send them (Airbnb Help).
- Match the listing. Times, rules and parking in your messages should say the same as your listing.
